Position Overview:
In alignment with ComWell’s Mission, Vision, and Values, the Office Coordinator serves as the first point of contact for clients, visitors, and staff while supporting daily administrative and operational functions. This role plays a vital part in ensuring a welcoming environment, maintaining accurate consumer records, and supporting clinical and administrative teams.
The Office Coordinator is responsible for delivering excellent customer service, maintaining confidentiality, and ensuring efficient front office operations in a fast-paced healthcare setting.
- Provide exceptional customer service with professionalism, responsiveness, and a helpful attitude
- Greet, welcome, and assist clients, visitors, and staff at the front desk
- Answer, screen, and direct phone calls while providing accurate information
- Schedule client appointments and maintain accurate client demographic and insurance information
- Collect co-pays and fees and explain charges to clients
- Maintain secure, accurate client records in compliance with HIPAA and 42 CFR standards
- Assist clinical staff and serve as a liaison with referral sources and community partners
- Prepare, process, and manage correspondence and medical records
- Receive, sort, and distribute mail and maintain organized administrative systems
- Ensure the reception area is clean, organized, and fully stocked
- Order and maintain inventory of office supplies
- Support safety and facility operations by identifying and reporting hazards
- Collaborate effectively with team members and promote a positive work environment
- Participate in Performance and Quality Improvement (PQI) initiatives
- Ensure compliance with all ComWell policies and procedures
- Perform other duties as assigned
- High school diploma required
- Minimum of one year of full-time clerical or administrative experience, preferably in a medical setting
- Strong verbal and written communication skills
- Excellent computer proficiency, including Microsoft Office (Word, Excel, Outlook)
- Knowledge of insurance processes, fee collection, and record management preferred
- Strong organizational skills and attention to detail
- Ability to work independently and as part of a team
- Must meet expectations required by CANTS check, criminal record and Healthcare Worker Background Check.
- Ability to perform essential job functions in accordance with ADA, FMLA, and applicable standards
- Ability to maintain regular, punctual attendance
- Occasionally lift, move, push, or pull up to 20 lbs
